2. Visiting this website

What we collect. Your IP address, the pages you visit, the date and time, and basic technical information about your browser and device, recorded in our server logs.

Why. To keep the site running, to keep it secure, and to investigate faults and misuse.

Lawful basis. Our legitimate interests in operating and securing our own website (UK GDPR Article 6(1)(f)). We have considered your interests and rights and take the view that keeping server logs for a short period does not override them.

Cookies. This site sets no non-essential cookies and does no third-party analytics or advertising tracking. See our cookie policy.

3. Contacting us

What we collect. Your name, contact details, and whatever you choose to tell us in your message, including any vessel details.

Why. To answer you, and to keep a record of what was asked and what we said.

Lawful basis. Our legitimate interests in dealing with enquiries (Article 6(1)(f)), or where your enquiry is about entering into a contract with us, taking steps at your request before entering into a contract (Article 6(1)(b)).

4. Berth holders at the Port of Fleetwood

4.1 Where your information came from

If you held a berth at the marina before 18 September 2026, we did not obtain your personal data from you. We received it from Associated British Ports when the Port of Fleetwood transferred to us on that date under The Ports of Fleetwood and Silloth (Transfer of Undertaking) Harbour Revision Order 2026 (SI 2026 No. 404). We are telling you this because Article 14 of the UK GDPR requires us to tell you the source when your data reaches us from someone other than you.

4.2 What we hold

Your name, home address, email address and telephone numbers; your vessel's name, dimensions and registration details; your berth allocation; your licence start and end dates and licence fee; your payment and billing records and any arrears; your insurance details; vehicle registration numbers you have given us for car park use; your correspondence with the marina; and records of incidents, works or complaints involving you or your vessel.

4.4 How long we keep it

4.5 Your licence is unchanged

The change of operator does not change the terms of your berthing licence, which continues under article 7 of the Order. This notice replaces the reference in your berthing conditions to Associated British Ports' privacy notice.

5. Commercial port users, ship agents, masters and visiting vessels

Controller: FJ Ports (Fleetwood) Ltd or FJ Ports (Silloth) Ltd, depending on the port.

What we collect. Names and contact details of masters, agents, pilots, hauliers and contractors; vessel arrival, departure and movement records; cargo and dangerous goods declarations; pilotage bookings and pilotage exemption certificate details; permissions and permits; and records of incidents and enforcement.

Why and on what basis. To operate the harbour safely and to carry out our functions as a statutory harbour authority (Article 6(1)(c) and Article 6(1)(f)); to perform contracts with you (Article 6(1)(b)); and to keep the records the law requires (Article 6(1)(c)).

6. Staff and administrator accounts

What we collect. Your name, work email address, your role, a securely hashed password, whether your email address has been verified, your login history and IP addresses, and a record of actions you take in the admin area.

Why. To let you log in, to control who can see and change what, to verify that an email address belongs to you, and to keep an audit trail of administrative actions.

Lawful basis. Our legitimate interests in running a secure system with proper access control and an audit trail (Article 6(1)(f)), and for staff accounts, performance of your contract of employment or engagement (Article 6(1)(b)).

7. Who we share personal data with

  • Our service providers, who act on our instructions as processors under a written contract meeting Article 28 of the UK GDPR: our website host, our email provider, our payment provider, our accounting software provider and our IT support.
  • Our professional advisers, including solicitors, accountants, auditors and insurers.
  • Public authorities, where we are required or permitted to disclose: HM Coastguard and the Maritime and Coastguard Agency, the Marine Accident Investigation Branch, the Marine Management Organisation, Trinity House, the police, HM Revenue and Customs, Border Force, and the local authority.
  • Associated British Ports, in the limited circumstances where information has to pass back to deal with a matter arising before 18 September 2026.

We do not sell personal data and we do not share it for anyone else's marketing.

9. Your rights

You have the right to:

  • be told how we use your personal data, which is what this notice is for;
  • get a copy of the personal data we hold about you (a subject access request), normally within one month and free of charge;

  • have data erased, in some circumstances;
  • restrict how we use it, in some circumstances;
  • object to our using it where we rely on legitimate interests, and to object to direct marketing at any time, which we must always honour;
  • portability, meaning a copy in a machine-readable format, where we rely on your consent or on a contract and the processing is automated;
  • withdraw consent at any time where we rely on consent, without affecting anything done before you withdrew it.
